Privacy Policy

BenchBalancer ("we", "us") is a rotation planning tool for sports coaches, available as an iOS
app and as a web app at benchbalancer.com. This policy
explains, in plain language, what information we hold, why we hold it, and how you can delete
it. If anything is unclear, email us at elijah@benchbalancer.com.
1. What we collect
We collect two kinds of information, and both are linked to your account:
- Your account details: your email address and your name, provided
by whichever sign-in method you choose - email and password, Google, or Sign in with Apple.
- What you enter as a coach: player names, jersey numbers, team
names, match schedules, match results, and per-player statistics such as playing time, goals
and assists.
That is the whole list. We do not collect your location, contacts, photos, health information,
payment details, browsing history, or advertising identifiers.
2. How we use it
Only to run the service:
- To sign you in and keep your account secure.
- To store your teams, schedules, games and stats in your account so they follow you between
the iOS app and the web app.
- To send account emails you ask for, such as sign-up confirmation and password reset.
- To reply when you contact us for help.
We do not use your information for anything else. There is no profiling and no automated
decision-making. Today we only send account emails (sign-up confirmation, password reset).
If we ever introduce optional product-update emails, they will be opt-in and easy to
unsubscribe from.
3. Where your data is stored
Your account and everything you enter are stored in a hosted PostgreSQL database run by
Supabase Inc, our data processor, in the
Sydney, Australia region. Data travels between your device and the
database over encrypted connections (HTTPS), and database access rules ensure your account can
only see its own data.
The web app also keeps a copy of your current sport's data (squad, lineup, game state and
preferences) in your browser's localStorage. That copy lives only on your own device so the app
keeps working through page refreshes and patchy sideline internet; you can remove it at any time
by clearing your browser's site data.
4. What we do not do
- We never sell, rent or trade your data or your players' details. To anyone. Ever.
- The iOS app contains no analytics SDKs, no advertising SDKs and no
tracking. It does not use the advertising identifier (IDFA), does not track you across
other apps or websites, and does not collect diagnostics about you.
- The occasional ads you may see inside the app are our own house ads (currently for Everything
Sports): images bundled with the app itself. They load nothing from ad networks and collect
nothing about you.
- We do not send you marketing email (any future product updates would be strictly opt-in),
and we never share your details with anyone who would.
5. Cookies, local storage and website analytics
The apps themselves do not use cookies. Signing in stores an authentication token on your device
(in browser localStorage on the web) so you stay logged in; it identifies you to us and nobody
else.
Separately, pages on the benchbalancer.com website, viewed in a browser, include two standard
website tools that are not part of the iOS app:
- Fathom Analytics - a privacy-focused analytics service that
counts page views in aggregate, without cookies and without identifying individual
visitors.
- Meta (Facebook) Pixel - used to measure how well our own
advertising for BenchBalancer works. Like any embedded script, it receives standard technical
information from your browser (such as IP address and browser type) and may set a cookie.
It never receives your account details, your teams, or anything you enter in the app.
6. Children's information
BenchBalancer accounts are held by adult coaches and team managers. Children do not create
accounts. However, the player names a coach enters are usually the names of children on their
team, so we treat that information with particular care:
- As the account holder, the coach is responsible for having the appropriate consent (for
example from a parent or guardian, or through their club) to enter a player's details.
- We store player details for one purpose only: making the rotation and stats features work
for that coach. We never use them for anything else, and we never share or sell them.
- Player details are deleted when the coach removes the player or deletes their account.
- A parent who wants a child's details removed can ask the coach, or email us at
elijah@benchbalancer.com and we will help.
7. Sharing
We share data with as few parties as possible:
- Supabase Inc hosts our database and authentication as our data
processor (see section 3). They store data on our behalf and do not use it for their own
purposes.
- Google and Apple, only if you choose to sign in with them. They
confirm your identity to us and pass us your name and email address. We send them nothing
about your teams or players.
- Share links you create. On the web, a coach can generate a
read-only link so parents and spectators can mark availability or follow a live game without
an account. Anyone who has such a link can see only what that page shows - typically player
names alongside availability or live playing time, positions and scores. No contact details
are ever shown. You choose who to send a link to.
- We would disclose information if genuinely required to by law - and nothing beyond what the
law requires.
8. Retention and deletion
We keep your data until you delete it. You can delete individual players, games and records inside
the app at any time, and you can delete everything at once:
- iOS app: Settings > Delete account.
- Web app: Settings > Delete account.
Account deletion is immediate, permanent and irreversible. It removes your profile, all squads and
player details, all games, match results and statistics, all schedules and availability records,
any live game sessions, and the sign-in account itself - the deleted credentials can no longer be
used to log in. If you cannot access your account, email us and we will delete it for you.
9. Your rights
- Access and correction: everything we hold about you is visible
and editable inside the app. For a copy of your data outside the app, email us and we will
provide one.
- Deletion: use the in-app account deletion above, or email us.
- We aim to answer any privacy request within 30 days. We handle personal information in
accordance with the Australian Privacy Principles; if you are unhappy with our response you
can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
10. Changes to this policy
If we change this policy we will post the new version here and update the effective date at the
top. For significant changes we will also let you know in the app or by email. We will never
quietly reduce your privacy protections.
